The Pro Fit Prep (“we,” “us,” “our,” or “the Company”) provides online coaching services, including a client portal, mobile web app, and related tools (collectively, the “Services”). This Privacy Policy explains what information we collect, how we use and store it, and the choices and rights you have regarding your information.

By creating an account, subscribing to a coaching plan, or otherwise using the Services, you agree to the collection and use of information in accordance with this Privacy Policy.

1. Information We Collect

1.1 Account & Profile Information

When you register for an account, we collect information such as your name, email address, phone number, age, gender, height, weight, activity level, and fitness or nutrition goals. This information is used to build and personalize your coaching plans.

1.2 Health, Fitness, and Nutrition Data

As part of the Services, we collect information you provide related to your health and fitness, including but not limited to:

• Body weight, measurements, and progress data
• Workout logs and exercise history
• Food logs, meal plans, and dietary preferences
• Check-in responses and coach feedback
• Progress photos

This information is used solely to provide, personalize, and improve your coaching experience and is treated as sensitive personal information.

1.3 Documents and Media You Upload

The Services include a Documents feature and other tools that allow you to upload files, images, and media (for example, PDFs, photos, and Word or Excel documents) to your account. Separately, your coach or our team may also upload documents and media on your behalf or as part of delivering your coaching plan (for example, meal plans, workout plans, check-in photos, or progress reports).

By uploading or submitting documents and media, or by allowing us to upload documents and media on your behalf, you grant us the right to store and retain that content for as long as reasonably necessary to provide the Services, maintain your account history, and support your coaching relationship.

You may request deletion of any documents or media at any time (see Section 6, “Your Rights and Choices”). Upon a verified deletion request, we will remove the specified content from our active systems within a reasonable timeframe, except where retention is required by law or for legitimate business records (such as billing history).

1.4 Payment Information

Payments for subscriptions and services are processed through Stripe, a third-party payment processor. We do not store full credit card numbers on our servers. Stripe’s handling of your payment information is governed by Stripe’s own privacy policy.

1.5 Communications

We collect messages sent through the in-app messaging system between you and your coach, as well as any emails, check-in submissions, or support requests you send us.

1.6 Usage and Technical Information

We may automatically collect limited technical information when you use the Services, such as device type, browser type, IP address, and general usage patterns (e.g., which features you use), in order to maintain, secure, and improve the Services.

1.7 Cookies

The Services may use cookies and similar technologies to keep you logged in, remember your preferences, and understand how the Services are used. You can control cookies through your browser settings, though disabling cookies may affect the functionality of the Services.

2. How We Use Your Information

We use the information described above to:

• Create and manage your account and client profile
• Provide personalized meal plans, workout plans, and coaching guidance
• Track and display your progress over time (weight, measurements, photos, check-ins)
• Store, organize, and allow access to documents and media you or your coach upload
• Process payments and manage subscriptions
• Communicate with you, including coaching feedback, plan updates, reminders, and support
• Send service-related notifications (for example, when a new plan, document, or message is available)
• Send newsletter or marketing communications, if you have opted in
• Maintain the security, integrity, and proper functioning of the Services
• Comply with legal obligations and enforce our agreements

We do not sell your personal information.

3. How We Store and Protect Your Information

Your information, including uploaded documents, media, and health/fitness data, is stored on secure servers operated by our hosting provider. We take reasonable administrative, technical, and physical measures designed to protect your information from unauthorized access, loss, misuse, or alteration.

Access to client data within our systems is limited to your assigned coach(es) and authorized administrators who need it to provide the Services. While we work to protect your information, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

4. Who We Share Information With

We do not sell or rent your personal information to third parties. We may share information with:

• Your assigned coach(es) — to provide personalized coaching, review check-ins, and respond to messages
• Service providers — third parties who help us operate the Services, such as our hosting provider, payment processor (Stripe), and email delivery service. These providers are only permitted to use your information as necessary to provide their services to us.
• Legal and safety purposes — if required by law, legal process, or to protect the rights, property, or safety of The Pro Fit Prep, our clients, or others.
• Business transfers — if The Pro Fit Prep is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this Privacy Policy or a policy at least as protective.

Mobile Phone Numbers & Text Messaging (SMS)

We do not share, sell, or otherwise provide your mobile phone number or messaging consent information to any third parties or affiliates for marketing or promotional purposes. Mobile information collected through our SMS opt-in program will not be shared with or sold to third parties under any circumstances.

Phone numbers collected for text messaging are shared only with Twilio, our SMS delivery provider, and solely for the purpose of transmitting the messages you have requested. Twilio acts as a service provider and is not permitted to use your information for any other purpose.

If you opt in to receive text messages from The Pro Fit Prep — for example, by providing your phone number and consent on our lead form, contact form, or client portal — we use your phone number to send messages such as inquiry confirmations, consultation scheduling, appointment reminders, check-in reminders, and coaching communications. Message frequency varies. Message and data rates may apply. Reply STOP at any time to unsubscribe, or HELP for assistance. Opting in to text messages is never a condition of purchasing any product or service.

5. How Long We Keep Your Information

We retain your account information, health/fitness data, documents, and media for as long as your account is active, or as needed to provide the Services. If you cancel your subscription or close your account, we may retain certain information for a reasonable period afterward for record-keeping, legal, billing, or dispute-resolution purposes, unless you request earlier deletion as described in Section 6.

6. Your Rights and Choices

6.1 Access and Correction

You can review and update most of your profile information (such as age, gender, height, weight, and activity level) directly within your account, or by contacting us.

6.2 Deletion of Documents and Media

You may request that we delete specific documents, photos, or other media you have uploaded, or that your coach has uploaded on your behalf, at any time. To make a request, contact us using the information in Section 9. We will verify the request and remove the specified content from our active systems within a reasonable timeframe.

Please note that some information may need to be retained even after a deletion request — for example, records required for billing, legal compliance, or to resolve disputes.

6.3 Account Deletion

You may request that your entire account and associated data be deleted by contacting us. Once processed, this will remove your profile, plans, logs, check-ins, documents, media, and messages from our active systems, subject to the retention exceptions described above.

6.4 Marketing Communications

If you have subscribed to our newsletter or marketing emails, you can unsubscribe at any time using the link provided in those emails, or by contacting us directly.

7. Children’s Privacy

The Services are not directed to, and should not be used by, individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected information from a child under 18 without verified parental consent, we will take steps to delete that information.

8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the Services, or legal requirements. If we make material changes, we will update the “Last Updated” date at the top of this page and, where appropriate, notify you through the Services or by email. Your continued use of the Services after changes take effect constitutes acceptance of the updated Privacy Policy.
